How to sign up to Volunteer and more....

Log in to your swimtopia accountClick on the tab "Meets & Events".
Click on "Signup Calendar".
Meets are listed by date. There is a job signup for EACH meet. The job signup button is either grey or green and on the right side of the screen. Right now only the last HOME meet is open. This is so you can open and explore and see what it looks like. If you sign up for something, it will be erased and all slots will be empty for the official opening of volunteer positions.

Once you click on the JOB SIGNUP, you should see a page with the parents/adults listed. Below each name should be a blue button for Sign Up for Jobs. **It would be helpful if you would sign up the correct adult name for the job because I use this this list to make name tags for each meet.

Once you click on the button, you should see a list of jobs. Check in the box which job you would like to do and then click SAVE ASSIGNMENTS. If the job position is completely filled, it will be indicated (see pic below). The black circle next to the title of the job can be clicked on to read a more detailed listing of what the job entails. **NEW this year--If you have been trained to work in a specific capacity, i.e. STROKE & TURN JUDGE, that specific job should show in your list. IF you are NOT trained, those trained positions will NOT show up in your list. This is to prevent untrained people signing up for positions they cannot do.

Once you have signed up for a job, it will be listed under your name (see 2 pics above). Another way to look and see what you are signed up for is to go to the very top of the page on the site and open the pull down tab to click on MY ACCOUNT. Once you do that, you should see a list of the entire family entered in Swimtopia and at the bottom will be your 2019 job sign-ups.
A few things....
It takes a village to pull off a swim meet. A home meet requires 63 jobs and that doesn't include roles that some board members fill for every meet. Please sign up! If you have a swimmer entered in the meet, you must work at that meet! If something comes up and you cannot fulfill what you have signed up to do within 24 hrs of the meet, please call or email me!
PLEASE be considerate. There are some jobs inside the HOA building, if you are a person that needs air-conditioning, these are the jobs for you. If you will have a young child in tow while you volunteer, there are jobs that are better suited for you than others (water service, concessions, clerk of course). If you are unsure ask a veteran family or myself. If you DON'T have young children to watch or need air-conditioning, try not to take these slots.
We have a talented swim team with many adults and children that would like to sing or interpret the national anthem to start the meet. I have added this duty to the jobs list for ease and to be fair. Signing yourself or your child up to perform this duty DOES NOT count toward your volunteer requirement.
We are STILL IN NEED of Stroke & Turn Judges, Refs, Head Data and Head Clerks.
The positions of head clerk of course, non-computer entry data, head timer are being trained via an online course this year. We are still waiting for RSL to release that information to us. Trust me, our board is on it and applying pressure to get the online process started!
Some of these positions (S&T Judge, Ref, Head Data) require attending a RSL training session in person. The following sessions are available...
Wednesday 05June, 6:30 PM – 8:30 PM @ Hopyard
Saturday 08 June, 9:00 AM – 11:00 AM @ Hampton Oaks
Wednesday 12 June, 6:30 PM – 8:30 PM @ Idlewild
Go ahead and play away with the last HOME swim meet. If you do sign-up, you will have to sign-up AGAIN for this meet. I will wipe that meet of job sign-ups clean and free of all entries.
Date and time of when all volunteer job positions will be open is to be determined. I will send another email out with that information!
